如何寫好英文Email
是否覺得英文Email 不好寫? 不知道如何開始?開頭要怎麼開? 我之前也因為這個問題困擾許久,尤其是在申請國外研究所的時候必須一直跟admission team詢問問題以及答覆他們的問題,那現在就來展示如何寫一封好的英文Email
我們將英文 email 分成主旨、開頭、內文、結尾和署名等五個部分
主旨:要注意這個地方是不可以留白的,應該要簡潔地告訴收件人這封Email的重點是什麼,舉例來說,Question about conditional offer, Invitation for Paul to apply to the ABC Coaching Program, Request to defer for your consideration
主旨:需要注意的點是主旨第一個字一定要大寫而且通常會用名詞形式來寫
開頭:通常來說,我們在學校學到的都是用Dear XX(比較正式第一封給不認識的人)來開頭,我們也可以用Hi(比較熟的人)來開頭,這都是要看你跟收件人的關係來決定要怎麼說,再來就是加上稱謂 Mr.或 Ms以及對方的姓氏舉例來說,Dear Mr. Chou, Dear Colleague
開頭:記住開頭的每一個詞的第一個字都要大寫! 像是 Dear Professor Chen
我個人的習慣在內文之前如果已經比較熟悉對方會是先關心一下對方像是:
Hi there! I hope you’re doing well.
I hope this email finds you safe and well.
I hope you’re having a great week.
I hope all is well.
內文:言簡意賅,直接切入重點 而且每一段要空ㄧ行
舉例來說:
Micheal, your Manager, reached out and asked me to check in with you regarding your plans for 2020 sales promotion. He noticed that……
Are you planning and preparing to arrive on Monday?
Please let me know your plans so that we can ensure everything is prepared on our end to support your planned start date and let me know if you have any questions.
Best regards,

小細節注意:
開頭可以先說你是誰,這個取決於你的對象,如果對方不認識你,可以寫說 I am XXX在哪認識的學生ID等等,但是如果對方認識你則可以不用寫因為在Email最後面也會署名
在回覆的時候我會先謝謝他們的來信時間或配合,讓對方感覺到appreciated像是:
Thank you for your message and great question!
Thank you for contacting us
Thank you for your prompt reply
Thank you for your declaration
Thank you for the information
內文最後可以謝謝他們的幫助
Thank you for all your assistance
Thank you for your kind cooperation
Thank you for your attention to this matter
Thank you for your understanding
Thank you for your consideration

結尾底下空一行,署上全名又或者名就好,這就是取決於你跟對方的關係,如果夠親近的話就用名就可以了,當然如果跟對方不熟就用名跟姓
